How do I see if ChatGPT mentions my business?

A manual method you can run this afternoon, the log sheet to keep, and what changes when you let software ask the questions for you.

Quick answer

Ask ChatGPT the questions your customers ask, such as "best family dentist in Tampa", in a Temporary Chat with personalization off and web search on. Write down whether your business is named, where it sits in the list, and which sources ChatGPT links. Repeat the same questions every week. Why can't I just ask ChatGPT once?

Because one answer is a snapshot, not a measurement. Three things make ChatGPT's answers move:

  • It decides when to search. OpenAI says ChatGPT "may search the web automatically when your question would benefit from current information." One answer might come from a live search, the next from what the model already knows. OpenAI Help Center
  • The sources can be off. OpenAI's own advice is that "search results and citations can be incomplete, outdated, or incorrect", so you should open the cited source and check it.
  • Your account can colour the answer. If ChatGPT remembers that you own the business, a normal chat is not what a stranger sees.

So the goal is not to ask once. It is to ask the same questions, the same way, on a schedule, and write the answers down.

How do I check ChatGPT by hand, step by step?

Set aside about an hour for the first round. After that, a round takes less.

  1. Write 10 customer questions. Use the words your customers use, not your marketing words. Mix four kinds (the examples here are made up): a category and a town ("best family dentist in Tampa"), a problem ("who can see a child with a chipped tooth today in Tampa"), a comparison ("Example Dental vs Bright Smile Tampa") and a question about you by name ("Is Example Dental Co any good?").
  2. Open a Temporary Chat and don't pick Personalized. OpenAI says a temporary chat "does not create or update memories", and only uses your existing memories and custom instructions if you choose the Personalized option. OpenAI Help Center
  3. Turn web search on. OpenAI's steps: open a conversation, select View all tools, select Search, then send your question. OpenAI Help Center
  4. Ask one question per chat, word for word. Don't add "I own Example Dental". That changes the answer.
  5. Record what you see in the log below: named or not, position, link or no link.
  6. Open the sources. Select a citation, or the Sources button when it shows, and note which sites ChatGPT leaned on. Those are the sites that shape your answer.
  7. Repeat next week with the same 10 questions, in the same order, the same way.
Tip: save the exact wording of your questions in the log. If you rephrase them each week, you are measuring your phrasing, not ChatGPT.

What should I write down each time?

One row per question per week. Here is the layout, with one made-up example row for a fictional business:

After four weeks you can answer the questions that matter:

  • On how many of your 10 questions are you named at all?
  • Are you moving up the list or down?
  • Which sites does ChatGPT keep citing? If they aren't yours, those are the pages and profiles to work on.

What if ChatGPT never mentions my business?

Check the one thing that rules you out completely first: whether ChatGPT's search crawler is allowed on your site.

OpenAI runs separate crawlers for separate jobs. OAI-SearchBot finds sites for ChatGPT's search features, and OpenAI says "sites that are opted out of OAI-SearchBot will not be shown in ChatGPT search answers, though can still appear as navigational links." GPTBot collects content that may be used to train OpenAI's models. ChatGPT-User visits pages when a user asks, and OpenAI says it "is not used to determine whether content may appear in Search." Common questions

Does ChatGPT give everyone the same answer?

No. Whether it searches the web, when you ask and how you word the question can all change the answer. That is why you keep the wording fixed and check on a schedule.

If I block GPTBot, will I disappear from ChatGPT search?

Not according to OpenAI. GPTBot is its training crawler; ChatGPT search relies on OAI-SearchBot. Blocking OAI-SearchBot is what keeps a site out of ChatGPT search answers.

How often should I check?

Weekly is a practical rhythm for a hand-kept log. Keep the same questions each time so the weeks can be compared.

Does checking by hand cost anything?
